Refund + No Show + Session Policy

Refund Policy

We are happy to issue a full refund for any service that has been purchased but has not yet been rendered, provided that the refund is requested in writing via email and includes a brief explanation for the request.

Once work on a student's behalf has begun, a full refund can no longer be issued. However, a partial refund may be available. The amount of any partial refund will be determined based on the amount of work already completed, including but not limited to appointment preparation, document review, written feedback, and any other services provided prior to the refund request.

 

If you purchased a session package, please also review the Session Package Policy below, as additional terms apply.

Example

You purchase a Personal Essay Review session but decide to cancel for a refund one hour before the scheduled appointment. Prior to the session, you submitted your personal statement, and Grace reviewed your essay and provided preliminary feedback. Because services had already been rendered, this appointment would not qualify for a full refund. Instead, we would issue an appropriate partial refund after accounting for the time spent reviewing your materials and preparing for the appointment.

No-Show Policy

We understand that unexpected situations can arise. If you are unable to attend your scheduled appointment, please notify us as soon as possible.

We will wait 15 minutes after your scheduled appointment time before considering the session a no-show. If you do not attend your appointment within this 15-minute grace period and do not provide advance notice (or notify us within the grace period), the appointment will be classified as a no-show.

Because our schedule is carefully planned and appointment times are reserved exclusively for each student, we maintain the following policy:

  • First no-show: You will receive a warning and may reschedule up to 50% of your original appointment duration at no additional charge.

  • Repeat no-shows: Refunds will not be issued, and complimentary rescheduling will not be offered unless documentation of an emergency or other extenuating circumstance is provided.

We appreciate your respect for our time, just as we are committed to respecting yours.

Example

If you miss your 45-minute session on March 1 and do not notify us before or within 15 minutes of the scheduled start time, the appointment will be considered a no-show.

  • If this is your first no-show, you may reschedule up to 22 minutes of your original appointment at no additional charge.

  • If you have previously no-showed, the missed session will not be refunded or rescheduled. To book another appointment, you will need to use another session from your session package (if applicable) or purchase a new session.

Session Package Policy

Session packages containing two or more sessions expire four (4) months from the purchase date or on the VMCAS submission deadline for that application cycle—whichever provides the student with the longer usage period.

This policy is designed to encourage students to make steady progress on their application materials while allowing them to lock in current pricing.

 

Unused sessions remaining after the expiration date cannot be used, transferred, or redeemed for a refund.

 

Examples

Example 1: A session package purchased on March 1 would normally expire on July 1. However, because the VMCAS submission deadline (typically September 15–18, depending on the application cycle) provides a longer usage period, the package would instead expire on the VMCAS deadline.

Example 2: A session package purchased on July 1 would normally expire on November 1. Because November 1 occurs after the VMCAS deadline, the package would expire on November 1.

We believe these policies provide students with a fair opportunity to utilize their sessions while allowing us to reserve sufficient time for each applicant and maintain the high level of individualized support we strive to provide. Session package pricing also allows students to lock in a competitive rate, even as our pricing is periodically adjusted to reflect improvements in our services and changes in operating costs.
